Privacy policy
You trust us with the details of your life. This page explains what we collect, why, who sees it, and how you stay in control. Last updated 26 October 2026.
- We collect only what we need to do the work you ask for.
- We never sell or rent your information.
- Only your PA, and the people a task needs, can see it. Everyone signs a confidentiality agreement.
- We never ask for passwords by email or text.
- You can see, correct or delete your information at any time by emailing hello@bespokepadesk.com.
1. Who we are
Bespoke PA Desk provides remote personal assistant services to clients in the US, the UK, Ireland and Europe. We decide how your personal information is used, which makes us its "controller" under UK and EU data protection law. Contact us at hello@bespokepadesk.com.
2. What we collect
Information you give us:
- Contact details: your name, email address, phone number and time zone.
- Household details you choose to share: family members, addresses, routines, preferences, contacts and calendars.
- Task details: bookings, travel plans, bills, receipts and correspondence we handle for you.
- Sensitive details, only when a task needs them: for example, health information to book a medical appointment, or details about your children for school admin.
- Payment details, which are processed by our payment provider. We don't store full card numbers.
- Account access you choose to give us, shared through a password manager.
Information collected automatically: when you visit this website, our hosting provider keeps basic technical logs, such as your IP address and browser type, to keep the site secure. We don't use advertising trackers or tracking cookies. We may use cookie-free visitor counts that don't identify you.
3. How we use it
| What we do | Legal basis (UK and EU) |
|---|---|
| Reply to your enquiry and hold your free call | Steps you asked for before a contract |
| Match you with a PA and do the tasks you ask for | Performing our contract with you |
| Handle health or other sensitive details for a task | Your explicit consent, which you can withdraw |
| Invoice you and keep financial records | Legal obligation |
| Keep our service and website secure, and improve them | Our legitimate interests |
| Send you occasional news, only if you opt in | Your consent |
4. Who we share it with
- Your PA, an independent contractor bound by a written confidentiality agreement.
- The people a task needs: for example, a restaurant for a booking, a doctor's office for an appointment, or an airline for a refund. We share only what that task needs.
- Service providers that help us run the business, such as email and file storage, task management, password management, payments, accounting and website hosting. They may use your information only to provide their service to us.
- Authorities, only when the law requires it.
We never sell or rent your personal information, and we never share it for advertising.
5. International transfers
Our team and service providers work from the US, Europe and South Africa, so your information may be handled outside your country. When information from the UK or EU is transferred, we use recognized safeguards, such as the standard contractual clauses approved by the UK and the European Commission.
6. How we keep it safe
- Access is limited to the people who need it for your tasks.
- Accounts are shared through a password manager, never by email or text, and you can remove access at any time.
- We use two-step login on our business accounts.
- Everyone who works on your account signs a confidentiality agreement first.
7. How long we keep it
We keep your information while you're a client. When you leave, we delete it or return it to you within 90 days, except for records we must keep by law, such as invoices, which we keep for up to 7 years. Enquiries that don't become clients are deleted after 12 months.
8. Your rights
You can ask us to:
- Show you the information we hold about you
- Correct anything that's wrong
- Delete your information
- Send your information to you or another provider
- Stop or limit how we use it, or withdraw your consent
Email hello@bespokepadesk.com and we'll reply within one month. If you're in the UK, you can also complain to the Information Commissioner's Office. In the EU, you can complain to your local data protection authority. US residents may have similar rights under their state's law, and we honor these requests wherever you live.
9. Children
Our services are for adults. We handle information about children only when a parent or guardian asks us to, for example for school admin or appointments.
10. Changes to this policy
If we change this policy, we'll update the date at the top of this page. If the change is significant, we'll tell our clients by email.
